Job Title: Customer Service Representative – Warehouse

Job Summary:

The Customer Service Representative for the Warehouse is responsible for providing exceptional service to customers by handling inquiries, processing orders, resolving issues, and ensuring accurate communication between the warehouse and customers. This role is critical in maintaining smooth operations within the warehouse and delivering timely and accurate support to both internal teams and customers.

Key Responsibilities:

  • Order Processing: Receive and process customer orders accurately and efficiently, ensuring correct item selection, packaging, and shipping details.
  • Customer Inquiries: Address customer questions regarding order status, product availability, shipping timelines, and other general inquiries in a timely and professional manner.
  • Issue Resolution: Handle and resolve customer complaints, discrepancies, and returns by coordinating with warehouse, shipping, and inventory teams to ensure timely solutions.
  • Coordination with Warehouse Teams: Work closely with warehouse staff to ensure inventory levels are accurate and orders are fulfilled correctly. Communicate customer special requests or needs to the warehouse team.
  • Inventory Management Support: Assist in tracking inventory levels, reporting stock discrepancies, and updating customers on product availability.
  • Shipping and Delivery Support: Track and update customers on shipping status, delivery schedules, and any potential delays, providing proactive solutions when necessary.
  • Documentation and Reporting: Maintain accurate records of customer orders, inquiries, complaints, and resolutions. Prepare reports on customer service performance and issues.
  • Quality Control: Ensure that orders meet quality standards before being shipped out and verify that products meet customer expectations.
  • Collaboration: Collaborate with sales, logistics, and warehouse teams to ensure smooth order fulfillment and customer satisfaction.

Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Previous experience in customer service, ideally in a warehouse, logistics, or retail environment.
  • Strong verbal and written communication skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Strong attention to detail with excellent organizational skills.
  • Basic computer skills (MS Office, warehouse management software, CRM tools).
  • Ability to remain calm and professional in stressful or challenging situations.
  • Experience with inventory or order management systems is a plus.

Working Conditions:

  • Work in a warehouse or office environment, with occasional exposure to the warehouse floor.
  • Ability to sit, stand, or walk for extended periods.
  • May require occasional evening or weekend shifts depending on business hours and customer needs.
