Job Description: Billing and Invoice Clerk

Position Summary: We are seeking a detail-oriented Billing and Invoice Clerk to join our finance team. The ideal candidate will be responsible for managing billing processes, preparing invoices, and ensuring timely and accurate financial transactions. This role is essential in maintaining our financial records and supporting our commitment to excellent customer service.

Key Responsibilities:

• Invoice Preparation: Generate and send invoices to clients in a timely manner, ensuring accuracy in amounts and billing terms.
• Billing Support: Manage billing inquiries and resolve discrepancies promptly to maintain positive client relationships.
• Payment Processing: Track incoming payments, apply payments to accounts, and assist with collections as necessary.
• Record Keeping: Maintain organized billing files and records, including invoices, payment records, and correspondence.
• Data Entry: Input billing data into the accounting system accurately and efficiently, ensuring all transactions are recorded.
• Reporting: Prepare regular reports on billing status, outstanding invoices, and revenue for management review.
• Compliance: Ensure compliance with company policies and relevant regulations regarding billing practices.
• Collaboration: Work closely with the accounting team and other departments to support financial operations and resolve any issues.

Qualifications:

• High school diploma or equivalent; associate’s degree in accounting or finance preferred.
• Proven experience in billing, invoicing, or accounting roles.
• Strong attention to detail and accuracy in financial data management.
• Proficient in accounting software and Microsoft Office Suite (especially Excel).
• Excellent organizational and time management skills.
• Strong communication skills, both written and verbal.
• Ability to work independently and as part of a team.
